When to Start Booking Entertainment: A Timeline For Different Seasons & Event Types!

As a mentalist and magician, I’ve had the privilege of performing at countless events, from intimate family gatherings to large corporate spectacles, and I’ve learned that the secret to a truly unforgettable event isn’t just magic—it’s planning.. One of the most common questions I get asked is, “How far in advance should we book you?”

The short answer is: it’s never too early to start the conversation! The longer answer is that different events have different “booking seasons.” To help you plan and ensure you secure the perfect entertainment for your special occasion, I’ve put together this timeline guide based on popular event types throughout the year.

The Golden Rule: The Sooner, The Better

Popular entertainers often have calendars that fill up months, and sometimes over a year, in advance. Booking early not only guarantees your date but also gives us ample time to collaborate and tailor a show specifically for your event and audience. Whether it’s incorporating your company’s inside jokes into a mentalism routine or learning a few words in another language for a wedding presentation, that extra time lets me personalize the magic, making your event even more special. A truly mind-blowing magic or mentalism experience is crafted, not just performed.

Now, let’s break down the calendar!

🍁 Autumn (September – November)

The air gets crisp, and the event calendar heats up. This is one of the busiest seasons for entertainers. The pace picks up dramatically after the summer lull.

Corporate Conferences & Product Launches (Sept/Oct): These large-scale events are planned far in advance.

Recommended Booking Timeline: 9-12+ Months. Venues and key speakers are often booked over a year out. Aligning entertainment with these plans is crucial.

Halloween Parties (October): Magic and mystery are a perfect fit for the spookiest night of the year! Dates in late October are highly sought after.

Recommended Booking Timeline: 6-9 Months. Popular dates, especially the weekend before Halloween, disappear faster than a ghost! Aim for early summer to have your pick of performers

Holiday Party Season Kick-off (November): Event planners and organizations kick off the festive season early. Many start planning their December festivities as early as end of summer!

Recommended Booking Timeline: 6-8 Months. Get ahead of the December rush by booking in the spring or early summer.

❄️ Winter (December – February)

Dominating this season is the corporate holiday party, but it’s also a time for cozy and unique personal events.

Corporate Holiday Parties (December): This is the single most competitive time to book any premium vendor.

Recommended Booking Timeline: 12+ Months. Many companies book their holiday entertainment for the next year in January! At a minimum, aim for 6-9 months to avoid disappointment.

New Year’s Eve Parties: The ultimate premium date for any performer.

Recommended Booking Timeline: 12+ Months. These dates are often the first to be reserved.

Valentine’s Day Dinners & Galas (February): An intimate close-up magic or mentalism show creates a wonderfully unique and memorable evening for couples.

Recommended Booking Timeline: 4-6 Months. Book in the fall to secure a captivating experience for your guests.

🌸 Spring (March – May)

As the weather warms up, the event calendar comes back to life with a season of new beginnings, celebrations of love, and academic milestones.

Weddings, Receptions, Showers, & Bachelorette Parties (Spring & Early Summer): A magician or mentalist is a unique and unforgettable alternative (or addition) to a traditional DJ or band for evening entertainment. More and more couples are choosing magical entertainment to wow guests during cocktail hour—it’s a huge hit!

Recommended Booking Timeline: 9-15 Months. Align your entertainment booking with securing your other key vendors like your venue and photographer.

School Formals & Proms (April/May): A magic or mentalism show is a huge hit with teens and makes for an incredible pre-prom event that gets everyone talking.

Recommended Booking Timeline: 6-8 Months. Schools should start looking in the fall or early winter.

Easter & Spring Galas/Fundraisers (March/April): Many charities and organizations host their key fundraisers in the spring, and family parties are in full swing as well.

Recommended Booking Timeline: 4-6 Months.

☀️ Summer (June – August)

Summer is filled with sunshine, relaxed celebrations, outdoor events, and family gatherings.

Summer Weddings: Another peak season for weddings.

Recommended Booking Timeline: 9-15 Months. Popular summer Saturdays disappear quickly.

Summer Corporate Picnics & Team-Building Events: Magic or mentalism is a fantastic icebreaker and a unique form of entertainment, but it’s not just entertainment; it’s a powerful tool for engagement, communication, and creating a memorable shared experience for your team.

Recommended Booking Timeline: 3-6 Months. While some are planned early, many summer picnics and events are organized on a shorter timeline. However, don’t wait until the last minute!

Birthday Parties, Family Reunions, & Private Events: From milestone birthdays to anniversary parties, to annual family get-togethers, summer is a popular time for personal celebrations.

Recommended Booking Timeline: 3-6 Months. This allows plenty of time to design something personal and astonishing for your guests.
